Purpose of the Job
The Administrative Assistant will provide essential support to the Officer, Senior Officer, and Team Leader, ensuring the branch operates efficiently and effectively.
Key Responsibilities Administrative Needed Immediately RAF
1. Handling Stakeholder Queries
- Answering telephone calls professionally.
- Checking, drafting, and sending correspondence.
- Preparing undertaking letters where required.
2. Payment Requisition Processing
- Ensuring expenditure authorization is completed.
- Conducting checklist verification.
- Obtaining necessary signatures following the Delegation of Authority (DOA).
3. Document Management
- Retrieving files from CAFS and updating records.
- Printing, filing, and organizing incoming correspondence.
- Placing documents on relevant files daily.
4. Claims System Updates
- Using CAFS to retrieve and update claims data.
- Keeping claim records accurate and up to date.
5. File Management & Distribution
- Delivering files to relevant departments on time.
- Ensuring file copies are sent to necessary stakeholders.
6. New Claims and Duplicate Checking
- Verifying claims data for accuracy.
- Conducting duplicate checks via the claims system.
- Using the payment system and Home Affairs database for verification.
Minimum Qualifications and Experience Administrative Needed Immediately RAF
- Education: NQF Level 4 (Matric or Grade 12) qualification.
- Experience: Minimum 1 year in a claims handling and administrative environment.
- Skills: Strong computer literacy skills.
